About the job

About The Company

Hi, I’m Martha, founder of a boutique travel consultancy based in Richmond, Virginia. I created this business with one goal: to make every journey seamless, extraordinary, and stress-free. We specialize in high-end, bespoke travel—whether that’s a fully tailored itinerary, a private yacht charter, jet travel, or rare experiences designed to inspire and delight across the globe.

We partner with a select group of discerning clients, building relationships founded on trust and personal connection. While we operate at an industry-leading level of sales, our true focus is on delivering uncompromising quality in every journey, rather than measuring success by volume of bookings.

Our team is a close-knit, supportive group that includes my sister, our business manager, a full-time travel designer, and part-time itinerary support. Though we all work remotely, we’re united by shared values: cultivating lasting client relationships, obsessing over details, and approaching every journey with care, grace, and genuine excitement.

If you’re inspired by the idea of joining a collaborative, people-focused team dedicated to creating unforgettable travel experiences, you’ll feel right at home with us.

About The Role

We’re seeking a Luxury Travel Support Specialist—a detail-oriented, tech-savvy professional who thrives in a fast-paced environment. In this role, you’ll be a key partner to our travel designers, ensuring every journey is executed seamlessly by managing research, logistics, documentation, and team organization.

By taking on critical administrative and itinerary-preparation responsibilities, you’ll allow our designers to focus on crafting extraordinary travel experiences.

What You’ll Do :

🏨 Research and secure trip components—hotels, cruises, tours, and partner services

🧳 Coordinate logistics and details to support flawless, end-to-end travel planning

📑 Prepare polished itinerary presentations and final travel documents for designer approval

📧 Communicate with travel partners and vendors throughout the planning process

💰 Maintain accurate sales records, including financial details and payments

📂 Organize team tasks, track project milestones, and keep reference resources up to date

The ideal candidate is a calm, dependable team player who thrives in a collaborative environment. You bring honesty, reliability, and a strong sense of ownership to everything you do. Even when juggling a full to-do list, you stay focused on accuracy, organization, and sound decision-making. Above all, you value building strong, professional relationships—with vendors, partners, and your teammates.

Working Hours : This is a full-time role with an expected 6 hour overlap from 8 a.m. to 2 p.m. Eastern Time.

About You

To excel in this role, you bring:

✅ 2 years + experience in travel coordination.

✅ Exceptional written and verbal communication skills

✅Experience working for an International or US – Based Business.

✅ Confidence working with financial figures and maintaining precise records

✅ Meticulous attention to detail with a commitment to accuracy

✅ A proactive mindset, always looking for ways to improve processes

✅ Quick adaptability in learning new digital tools, CRMs, and project management software

Bonus Points if You Have:

⭐ Previous experience in the travel industry

⭐ Familiarity with Apple Mail, iCloud, Pages, and Numbers

⭐ Knowledge of Airtable or similar database tools

⭐ Experience using Google Workspace for collaboration and organization

⭐ Exposure to Axus Itinerary Software (or a similar platform)

⭐ Familiarity with travel booking engines (SABRE, Travel Wits, etc.)

⭐ Understanding of travel insurance quoting and documentation

Benefits

What’s in it for you?

💵 Salary : $2,000 – $2,250 per month*

🕒 Full-time: Fully remote position

🌴 Paid Time Off: 20 days per year, including public holidays

*Please note that this is a gross salary and that you are responsible for any tax-related procedures in your country of residence.
